Privacy Policy

Last updated: 20 October 2026

We're reviewing this page with our advisers, so it may change soon.

This explains what personal information we collect through our website, what we do with it, and the choices you have. It applies to businesses who contact us, people who apply to work with us, and anyone who visits the website.

The short version

  • We collect what you give us in our forms, plus basic technical information when you visit.
  • We use it to reply to you, to provide our services, and to match applicants with roles.
  • We share applicant details with a client only when we put you forward for a role.
  • We never sell your information.
  • You can ask to see, correct or delete your information at any time.

1. Who we are

Staffed is the trading name of Staffed by ASM Virtual, LLC, a limited liability company registered in Wyoming, United States. We decide how and why your personal information is used, which makes us the "controller" of it.

Registered address: 1021 East Lincolnway, Cheyenne, WY 82001, United States

Privacy questions: divine@asmvirtual.com

2. What we collect

If you're a business

When you fill in our Get Started form or contact us, we collect:

  • your name, company and email address
  • what kind of business you run, the roles you want to fill, how many people, the tools your team uses, the hours they'd work, your budget and your timeline
  • how you heard about us, and anything else you choose to tell us
  • what we discuss with you afterwards, by email or on calls

If you join our newsletter

Your email address, and whether you open our emails.

If you apply to work with us

When you apply through our website, we collect:

  • your name and email address
  • the role you're applying for, your remote work experience and the hours you can work
  • your resume, through the link you give us, and everything in it, such as your work history, education and contact details
  • details of your internet connection and the computer you work on
  • anything else you choose to tell us

If you move forward with us, we'll also collect interview notes and, before you start a role, copies of your government documents. We'll tell you more about this at that stage.

When you visit the website

Like most websites, ours automatically collects some technical information, such as your IP address, browser and device type, and the pages you visit. Our website runs on Wix, which uses cookies to do this.

3. How we use it, and why we're allowed to

Data protection laws say we need a valid reason, called a legal basis, for each way we use your information. Here's ours:

Replying to your enquiry and sending a proposal

Reading your Get Started form, getting back to you, and telling you honestly whether we can fill your role and what it costs.

Legal basis: our legitimate interest in responding to people who contact us, and taking steps you've asked for before entering into a contract.

Providing our services to clients

Sourcing candidates, managing placements, billing, reporting, and keeping in touch.

Legal basis: performing our contract with your business.

Reviewing applications and matching people to roles

Assessing your application, interviewing you, and deciding whether to put you forward for a role. A real person on our team makes these decisions, never an automated system.

Legal basis: our legitimate interest in finding the right people for our clients, and taking steps before entering into a contract with you.

Putting you forward to a client

When there's a role that fits, we share your resume and the relevant details from your application with that client so they can interview you.

Legal basis: our legitimate interest in placing candidates, and taking steps before entering into a contract with you.

Sending our newsletter

Emailing you what we've learned about building remote teams. You can unsubscribe at any time using the link in every email.

Legal basis: your consent.

Running and protecting the website

Keeping the website working, secure and free of spam.

Legal basis: our legitimate interest in running a safe, working website.

Legal, tax and accounting

Keeping records we're required to keep, and responding to lawful requests.

Legal basis: complying with our legal obligations.

4. Who we share it with

We never sell your personal information. We only share it when we need to:

  • With clients, when we put an applicant forward for a role
  • With our team, who work remotely across the Philippines
  • With the tools we use to run the business, such as Wix (our website and forms), Google Workspace (email and documents), Notion (our candidate database), and our payment and accounting providers. They only use your information to provide their service to us.
  • With professional advisers, such as our lawyers and accountants
  • With authorities, if the law requires it
  • With a buyer or successor, if our business is ever sold or restructured

5. Sending information between countries

We're a US company with a team in the Philippines, and our tools store information in the US and other countries. This means your information may be handled outside the country you live in.

When we move information from the UK or Europe to another country, we rely on safeguards the law recognises, such as the data transfer agreements our providers offer.

6. How long we keep it

  • Business enquiries that don't turn into an agreement: up to 2 years after we last spoke
  • Client records: for as long as we work together, and then as long as tax and accounting rules require
  • Applications: up to 2 years, so we can consider you for future roles. You can ask us to delete yours sooner at any time
  • Newsletter: until you unsubscribe

7. Keeping it safe

We limit access to people on our team who need it, use secure, reputable tools, and ask everyone who handles information for us to keep it confidential. No system is ever completely secure, but if something goes wrong that puts your information at risk, we'll tell you and the relevant authorities when the law requires it.

8. Your rights

Depending on where you live, you may have the right to:

  • ask what information we hold about you, and get a copy
  • ask us to correct anything that's wrong or out of date
  • ask us to delete your information, or to stop or limit how we use it
  • object to us using your information based on our legitimate interests
  • ask us to send your information to you or someone else in a usable format
  • withdraw your consent at any time, where we rely on it, such as for our newsletter

To use any of these rights, email us at divine@asmvirtual.com. We may need to check who you are first. We'll reply within one month.

If you're not happy

Please talk to us first so we can try to put it right. You can also complain to your data protection authority:

  • UK: the Information Commissioner's Office (ico.org.uk)
  • Philippines: the National Privacy Commission (privacy.gov.ph)
  • EU: the data protection authority in your country

9. Do you have to give us your information?

No. But if you leave out the required fields on our forms, we may not be able to reply properly or consider your application.

10. Cookies

Our website uses cookies that it needs to work. We'll only use analytics or advertising cookies with your permission where the law requires it, and you can change your choice at any time.

11. Children

Our website and services are for adults. We don't knowingly collect information from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make a big change, we'll make it clear on the website.
